In 2025, the member embarked on a full Vendor Managed Inventory (VMI) transition across 67 locations, replacing their incumbent supplier with the PA–Fastenal program. The project involved the removal and replacement of more than 100 vending units across 37 sites within a condensed five-month timeline.

The member’s leadership team required a seamless transition—without disruption to critical maintenance and production activities—while ensuring alignment across Finance, Procurement, and Operations.

The PA Implementation team partnered closely with the member and Fastenal to manage the project from strategy through execution, ensuring a smooth and efficient transition.

  • May 2025: PA Implementation engaged to oversee the strategic transition of MRO supplies for all 67 locations, establishing a firm September 30 deadline to complete the conversion to Fast Solutions vending.
  • June 2025: PA facilitated joint meetings with the member’s Finance and Fastenal eCommerce teams to develop a customized consolidated billing template and process that met the member’s unique monthly invoicing requirements. The team also completed User Acceptance Testing (UAT) in the member’s test environment to validate performance and accuracy.
  • In parallel, PA coordinated with Fastenal eBusiness Technology to design and launch a customized Fastenal.com portal, complete with procedure guides and end-user training materials to ensure a seamless onboarding experience.
  • July 2025: Implementation officially began, with Fastenal due diligence visits to evaluate existing vending equipment and plan the swap-out.
  • August 2025: The incumbent supplier was formally notified and provided a September 30th removal deadline, allowing Fastenal to prepare for full deployment.

Throughout the project, PA maintained a disciplined cadence of leadership meetings, tracked key milestones, and leveraged the member’s historical consumption data to validate progress and ensure stakeholder alignment across all functions.

By October 2025, the project achieved full service cutover ahead of schedule:

  • 109 Fast Solutions vending machines installed across 37 facilities, replacing all incumbent equipment.
  • Customized eCommerce and billing integrations established, streamlining purchasing and financial reconciliation processes.
  • No disruption to operations during the transition, underscoring PA’s commitment to precision, partnership, and execution excellence.
